Celectory Privacy Policy

This Privacy Policy explains how Celectory collects, uses, stores and shares personal information when you:

register as a Celebrant;
use Celectory as a Funeral Professional or funeral business;
submit or manage a booking;
contact Celectory;

otherwise interact with the Celectory platform.
This Privacy Policy should be read alongside the applicable Celectory User Agreements, our Cookie Policy and any other privacy information presented when personal information is collected.

Celectory is an online technology platform that facilitates availability searches and booking requests between Celebrants and Funeral Professionals.

References in this Privacy Policy to “Celectory”, “we”, “us” or “our” mean Tamed Sea Limited, trading as Celectory.
If responsibility for operating Celectory is transferred to a newly incorporated Celectory company, this Privacy Policy will be updated to identify the new legal entity and users will be notified where appropriate.

Celectory is generally the data controller of personal information used to:

Funeral Professionals and Celebrants may separately act as independent data controllers when they receive and use personal information for their own professional purposes, including arranging, preparing for or delivering a funeral service.
For example, once a Funeral Professional shares information with a Celebrant in connection with a booking, the Funeral Professional and Celebrant may each have their own responsibilities under data protection law.
Celectory is not responsible for the independent privacy practices of Funeral Professionals or Celebrants.
 
4. Personal Information We Collect
The information we collect depends on how you use Celectory.
 
4.1 Account and identity information
We may collect:

  • business or trading name;

  • job title or professional role;

  • username;

  • account identifier;

  • profile photograph;

  • authentication and login information;

  • age or confirmation that you are aged 18 or over; and

  • identity verification information where reasonably required.

4.3 Celebrant profile information
Where you register as a Celebrant, we may collect:

  • languages spoken;

  • availability and calendar information;

  • profile photographs;

  • insurance information;

  • information you choose to make visible on your public or restricted profile.

 
4.4 Funeral Professional and business information
Where you use Celectory on behalf of a funeral business, we may collect:

  • funeral business name;

  • business contact information;

  • your role and authority within the business;

  • the names and details of authorised account users;

  • booking history; and

  • business preferences and service locations.

 
4.5 Booking information
We may collect information needed to create and manage a booking, including:

  • funeral date and time;

  • crematorium, cemetery, venue or service location;

  • requested Celebrant;

  • booking status;

  • booking reference;

  • service type;

  • relevant instructions;

  • communications relating to the booking;

  • changes or cancellations; and

  • records of booking acceptance or rejection.

Booking information may sometimes include personal information concerning family members, representatives, the deceased or other individuals connected with a funeral.
Users should only enter information that is reasonably necessary to facilitate and manage the booking.
 
4.6 Sensitive or special category information
Funeral arrangements may occasionally involve information concerning:

  • religious or philosophical beliefs;

  • health or disability;

  • racial or ethnic origin;

  • sexual orientation;

  • family circumstances; or

  • other sensitive personal matters.

Users must not upload or share sensitive information through Celectory unless it is genuinely necessary for arranging or delivering the relevant funeral service.
Where special category personal information is processed through the platform, the Funeral Professional or Celebrant submitting or using that information is responsible for ensuring that they have an appropriate lawful basis and special category condition for doing so.
Celectory will seek to minimise its use of special category personal information and will not use it for unrelated marketing or profiling.
 
4.7 Subscription and payment information
We may collect:

  • subscription plan;

  • billing address;

  • payment status;

  • transaction references;

  • invoice information;

  • VAT information;

  • payment history; and

  • limited payment method information provided by our payment processor.

Full card information will normally be collected and processed directly by our payment provider and may not be stored by Celectory.

Where information about a family member or another person is entered by a Funeral Professional or Celebrant, that user is responsible for ensuring that the information is entered lawfully and that the person has been provided with appropriate privacy information where required.

  • displaying Celebrant profiles;

  • sending operational notifications; and

6.2 Manage subscriptions and payments

  • taking and recording subscription payments;

  • administering cancellations or refunds.

Information required to facilitate a booking may be shared between the Funeral Professional and the selected Celebrant.

Users must only use this information for legitimate purposes connected with the booking or their professional relationship.
 
9.2 Technology and service providers
We may share information with suppliers that support the operation of Celectory, including providers of:

  • calendar synchronisation;

  • payment processing;

  • customer support;

  • both a processor and an independent controller for different purposes.

10.1 SimplyBook.me
Celectory uses SimplyBook.me to provide elements of the booking platform, including:

  • Celebrant profiles;

  • availability management;

  • booking requests;

  • user accounts;

  • booking administration;

  • automated booking notifications; and

  • related platform functionality.

Where SimplyBook.me processes personal information on Celectory’s instructions to provide the booking platform, it acts as a data processor and Celectory remains the data controller.
SimplyBook.me may act as an independent data controller for limited processing undertaken for its own purposes, including security, fraud prevention, legal compliance and administration of its own services.
Information processed through SimplyBook.me may include:

  • names and contact details;

  • user account information;

  • Celebrant profiles;

  • availability information;

  • booking dates, times and locations;

  • booking status;

  • communications relating to bookings;

  • technical information; and

  • security and login information.

 
SimplyBook.me may process personal information outside the United Kingdom. Where this occurs, Celectory will rely on appropriate safeguards as described in Section 11 of this Privacy Policy.
 
10.2 Stripe
Celectory uses Stripe to process subscription payments and other payments connected with the Celectory service.
Stripe may process:

  • payer names;

  • billing addresses;

  • email addresses;

  • payment method information;

  • transaction details;

  • payment status;

  • fraud-prevention information; and

  • technical information relating to payment activity.

 
Stripe generally acts as an independent data controller for certain payment-processing, fraud-prevention, regulatory and compliance activities.
Stripe may also act as a data processor where it processes information solely on Celectory’s documented instructions.
Celectory does not normally receive or store complete payment-card details. These are collected and processed directly by Stripe.
Stripe may process personal information outside the United Kingdom. Appropriate transfer safeguards will be used where required.
 
10.3 Bluehost
Celectory uses Bluehost to provide website-hosting and related technical services.
Bluehost may process or store:

  • website account information;

  • contact-form submissions;

  • website content;

  • server logs;

  • IP addresses;

  • device and browser information;

  • security information; and

  • technical support information.

 
Where Bluehost hosts information on Celectory’s behalf, it generally acts as a data processor.
Bluehost or its associated service providers may process personal information outside the United Kingdom. Appropriate international-transfer safeguards will be used where required.
 
10.4 Cloudflare
Celectory uses Cloudflare to provide website security, performance, content delivery, domain and traffic-management services.
Cloudflare may process:

  • security events;

  • cookie identifiers; and

  • technical logs.

 
Cloudflare may act as a data processor where it provides services on Celectory’s instructions.
Cloudflare may also act as an independent data controller for limited activities carried out for its own security, legal-compliance and service-management purposes.
Cloudflare operates a global network and may process personal information in countries outside the United Kingdom. Appropriate safeguards will be used where required.
 
10.5 Google Workspace
Celectory uses Google Workspace for business email, document storage, calendar functionality, administrative records and internal communications.
Google Workspace may process:

  • names and email addresses;

  • correspondence;

  • attachments;

  • documents;

  • calendar information;

  • business contact details;

  • support information;

  • login information; and

  • technical and security data.

 
Where Google processes information to provide Google Workspace services on Celectory’s instructions, Google generally acts as a data processor.
Google may also act as an independent data controller for certain security, billing, legal-compliance and service-management activities.
Google and its associated service providers may process personal information outside the United Kingdom. Appropriate safeguards will be used where required.
 
10.6 Changes to Suppliers
Celectory may change, replace or add service providers as the platform develops.
Where a change materially affects how personal information is processed, this Privacy Policy will be updated and users will be notified where appropriate.

11. International Transfers
Some of Celectory’s suppliers operate internationally or use systems located outside the United Kingdom.

  • Account information: while the account remains active and normally for up to six years after closure where required for legal, contractual or dispute purposes.

  • Booking records: normally for up to six years after the booking, unless a shorter or longer period is appropriate.

  • Subscription and transaction records: normally for six years after the end of the relevant financial period or as otherwise required by tax and accounting law.

  • Support and complaint records: normally for up to six years after the matter is resolved, depending on its nature.

  • Marketing preferences and suppression records: for as long as necessary to respect your communication preferences.

  • Technical and security logs: normally for a shorter period appropriate to operational and security needs, unless required for an investigation.

  • Unsuccessful enquiries: normally for up to two years, unless there is a legitimate reason to retain them longer.

  • Cookie and analytics information: for the period stated in our Cookie Policy or cookie management tool.

These periods are guidelines rather than absolute rules. We may retain information for longer where necessary to deal with a legal claim, complaint, investigation, safeguarding concern or legal obligation.

Funeral Professionals and Celebrants must:

  • only enter personal information that is reasonably necessary;

  • ensure information is accurate;

  • keep account credentials secure;

  • avoid entering unnecessary sensitive information;

  • only use booking information for legitimate professional purposes;

  • comply with applicable data protection legislation in relation to information they receive;

  • securely delete information when it is no longer required; and

  • promptly report suspected data breaches or misuse involving Celectory.

Users must not use contact or booking information obtained through Celectory for unrelated marketing, profiling, sale or disclosure.
 
15. Your Data Protection Rights
Depending on the circumstances, you may have the right to:
15.1 Access
Request confirmation of whether we process your personal information and obtain a copy of it.
 
15.2 Rectification
Ask us to correct inaccurate or incomplete personal information.
 
15.3 Erasure
Ask us to delete personal information where there is no lawful reason for us to continue retaining it.

Information concerning a child should only be entered in connection with a funeral booking where genuinely necessary, lawful and proportionate.
 
21. Information Concerning Deceased Persons
UK data protection legislation generally applies to information relating to identifiable living individuals rather than deceased persons.
However, funeral booking information may also identify or affect living family members and other individuals. We therefore expect all users to handle information concerning the deceased and bereaved families sensitively, confidentially and only for legitimate purposes.
